Staff and permissions

Add staff, assign positions at one or more outlets and control who can refund, discount or manage the menu.

Snapitto separates who someone is from what they are allowed to do. A person is a staff record; what they can do comes from their position.

Positions are permission templates

New businesses start with six positions:

  • Owner
  • Manager
  • Cashier
  • Waiter
  • Chef
  • Sweeper

These are starting points. You can change what each one is allowed to do. Examples of permissions are managing the menu, creating bills, applying discounts, viewing reports, using the kitchen view and issuing refunds. Anything a position is not explicitly allowed to do is refused.

Sweeper is for roles that need a roster record but no login, so they do not use a seat or a device.

Adding a person

  1. Create the staff record with name, email and a password.
  2. Assign a position at an outlet.
  3. Share the Outlet ID, their email and the password.

Passwords are stored hashed, never in plain text. Ask staff to sign out at the end of a shift, especially on a shared device.

More than one outlet

One person can hold different positions at different outlets, for example Manager at one and Cashier at another. At sign-in, a person assigned to several outlets chooses which outlet that device belongs to the first time. After that, the device stays with that outlet.

Limits

The number of staff accounts depends on your plan: 3 on Free, 5 on Starter, 12 on Cafe Plus and 20 on Growth. See Plans and limits. Devices and signed-in sessions are also limited, so a till left signed in can occupy a slot until it is signed out or becomes inactive.

Removing access

To end someone's access, end their assignment at the outlet or deactivate the device they use. Sessions are checked against current records each time they renew, so access does not continue indefinitely after you remove it.

Give refund and discount permissions only to people you trust with them. Start tight and loosen later.
